Data Entry Operator

The Computer Operator in the Service & Support Department is responsible for preparing quotations, invoices, and documentation related to customer orders and service activities. The role involves close coordination with customers, stores, and the service team to ensure smooth documentation, dispatch, and record maintenance for all materials and correspondence.

Key Responsibilities:

1. Documentation & Data Entry: Prepare Quotations, Proforma Invoices, Invoices (on Tally), and Manual Challans as per customer requirements. Maintain accurate records of all service-related documents, customer correspondence, and dispatch details.

2. Customer Coordination: Follow up with customers after sending quotations, proforma invoices, and materials dispatched through challan. Handle customer communication via email and phone in a professional manner.

3. Material Dispatch & Tracking: Coordinate with the Store Department for material availability as per received orders. Prepare packaging and arrange dispatch of materials through courier or transport. Track all dispatched consignments and update records accordingly.

4. Record Management: Scan, file, and maintain digital and physical records of documents and materials. Maintain a systematic record of quotations, invoices, and delivery details for future reference.

5. Coordination & Support: Assist the Service Department with data entry, report preparation, and customer updates. Support administrative tasks and ensure smooth documentation flow between departments.
